VOLUNTEERING
THE EVERGREEN HURRICANES NEED YOU TO GET INVOLVED!!
We are a volunteer-based organization in which the participation of each family is vital to the team's success. We have a paid coaching staff, but the rest of the work of running the team is conducted by a volunteer Board of Directors and additional team parents who give generously of their time so that the Hurricanes can provide a high-quality swim program to the community. There are two sides to our team volunteerism: Team Management Volunteers (ongiong) and Home Meet Volunteers (meet specific).
Team Management Volunteers are those people who take on responsibilities that help to manage our team and keep it running smoothly. These include the following areas: Board of Directors positions; Marketing and Communications (including design and maintenance of our team website, writing our monthly newsletters, taking team photographs of our swimmers at all meets, and promoting our team's accomplishments in local newspapers); Team Spirit (working with the coach to organize various team events, including movie nights, team outings, team dinners, and awards banquets); Team Equipment (working with the coach to design and order team tshirts, team suits, training equipment, etc.); Team Registration (ensuring all our swimmers, coaches, and officials are registered with Colorado/USA Swimming); Officiating (training with CSI and USA Swimming and then volunteering time at both home and away meets); and Computer Operations (HyTek and Colorado System 5 operation). These people give generously of their time and talents, and we appreciate their ongiong efforts, especially because being a team management volunteer does not preclude them from being home meet volunteers as well.

Home Meet Volunteers are those people who help with the running of the five swim meets the team hosts each year. To successfully stage a meet requires participation and support from all team families. The Hurricanes have established a tradition of hosting well-run meets and making swimmers, coaches, officials, and parents feel welcome. During the 2009/10 Season, we will be hosting five meets. Please mark your calendars for the following dates: 9/26/10; 2/5-6/11; 3/20/11; and 5/15/11.
Essentially, every family on our team is required to work in some capacity at our home meets, either during the actual meet itself, or prior to it (for example, copying programs, shopping for necessary supplies, setting up the pool the night before a meet, making burritos, etc.).
The specifics of this requirement are outlined below and can be found in the Team Membership Agreement under the "Join the Team" tab of our website:
- We have read and understand the information regarding our obligation to volunteer and agree to to work at each swim meet hosted by the team, and to participate in team management through assisting with a volunteer job.
- We understand that we are responsible for finding a replacement to fulfill our worker session at a swim meet, and to notify the volunteer coordinator. If we do not show up or find a substitute, we understand that we will be charged a $50 fee per missed session. This fee will be charged to the credit card number I provide.
Home Meet Volunteer Expectations:
- The day after the meet deadline (which is the date determined by the coach that families must notify him if their child is not swimming at the meet), the volunteer list will be posted on the home page of the team website and under volunteering. The only exception to this will be the Set Up/Tear Down volunteers who will be notified the weekend prior to the meet, since their jobs are done the night before each meet, and we want to give them as much time as possible to ensure they are available to do the work.
- Each volunteer will receive a detailed job description; outlining their roles and responsibilities, as well as an estimate of the amount of time it will take them to complete the task.
- Once posted, it will be each family's responsibility to find a substitute or switch job assignments with another family and then let the Coordinator know via email or phone of the change.
- All volunteers will check in with the Volunteer Coordinator the morning of the meet to receive any last minute instructions. Upon check in, they will be sent to their respective stations to complete their assigned task.
