Final Meet Details for Loveland Holiday Showdown

Jordan Kuper

We have all of the final details for the Loveland Holiday Showdown this weekend.  The meet psych sheet, timeline, and Meet QR Code have all been posted to our website under the meet name.  The QR Code is where they will be uploading the heat sheets before each session, and also where they will be posting results as the meet occurs.

We have a fairly light timing assignment for the meet, providing one timer at all times for Lane 1 during the prelim (morning) sessions.  We will need 2 timers on Saturday, 2 timers on Sunday.  The link to sign up for a timing shift is HERE.

You will need to use the QR Code for everything this weekend.  There will not be paper heat sheets posted on the walls like we have at other meets.  Also, the importance of checking results is crucial because of the prelim/final format of the meet.

IMPORTANT DETAILS ABOUT THE MEET FORMAT:

For all age groups, the Top 8 finishers in prelims for that event will qualify for the Finals session that evening.  The age group breakdown for Finals qualification is 10&Under / 11-12 / 13-14 / 15&Over.

If your swimmer qualifies Top 8 in any event, other than Friday, they must return for Finals warm-ups to swim it again.  If for some reason you cannot make the Finals PM sessions, there are certain protocols that MUST be followed in order to scracth out properly and without penalty.  If you are familiar with the prelim/final swim meet format, you can skip down to the meet schedule part of this email.

**Once the prelims event is swum, the results of the race will be read out over the speaker and published through the QR Code link.  Once announced, there will be a 30 minute time window for swimmers to scratch out of their Finals swim if they need to.  Once the 30 minute window closes, the results become final and any No Show for a Finals swim will result in expulsion from the rest of the meet and a $100.00 fine.

**If a swimmer gets scratched into Finals, they are held to the same standard as mentioned above.  Therefore, if for any reason your swimmer is NOT going to return for Finals that evening, you will need to SCRATCH them from the event results at the scratch table before the final results are posted.

**Even if your swimmer places 30th but you know that you will not be returning for Finals on a particular day, take the time to go to the scratch table and scratch from Finals so that we do not end up getting scratched in and penalized for a No Show.

** As a Team Championship meet, we encourage ALL Hurricanes to attend their Finals qualifying swims.  Unless something barrs you from attending the Finals session, the expectation is that a Top 8 placing in your event will have your swimmer returning later that afternoon.

**If your swimmer places outside of the Top 8 initially, make sure you check the final results after the scratch deadline to see if your swimmer has been scratched into the Top 8.

**Many events during prelims will be swum with all ages under the same event number.  Don't let this surprise you when it comes to results.  The results of the event will be separated by the age groups (mentioned above) and create the Top 8 qualifiers for Finals in that event.

**If something comes up that affects your PRELIM (morning) swim on either day, please send us an email stating so.  This too could create problems for your swimmer's swims later that day or the next day.  Example would be:  If a kid wakes up sick Saturday morning and you decide to not make the trip up to the meet, but then are able to attend on Sunday.  The absense on Saturday needs to be handled properly so that their participation on Sunday is allowed.  An email from you the parent to the coaches notifying us of your swimmer's absense on Saturday will allow us to notify the Meet Ref of this so that they can preemptively "false start" your swimmer so that there is no penalty for not showing up to the meet.

**I know there is a lot to unpack there for new families.  Basically, if there is ANY part of the weekend that you end up not attending that you are signed up for, TELL YOUR COACH so that we can handle the processes properly
